Hotel, transportation, visa, and other critical information for conference participants

Session registration

Please note that advance registration for all conference sessions and social events is required! To reserve a seat in your preferred sessions, please visit http://hictf.sched.com/ and log in using the email address that received an application approval notice. Once you’ve logged in, you can also update your profile, network with fellow attendees and send your feedback about any session.

Transportation

Bus: Bus transportation from the Hotel Avante and the Sheraton Sunnyvale to and from all conference venues has been provided by our conference sponsors. If you plan to use bus transportation, please reserve your seat by filling out the form located online at http://hictf.org/busreserve. If you do not use this form to reserve your seat, we cannot guarantee a seat for you on the bus.

Buses will pick up from the front of the Sheraton Sunnyvale (1100 N Mathilda Ave, Sunnyvale, CA 94089) and the Hotel Avante (860 E El Camino Real, Mountain View, CA 94040). The bus schedule is as follows:

Taxi: Your best options for transportation in Mountain View are on-demand car-service apps, such as Uber, Lyft, Summon, Via and Sidecar. If you want to take the more traditional route, we recommend Yellow Taxi Cab California (+1 650-993-3500), Bay Area Yellow Cab (+1 650-450-9955) or Yellow Town Taxi Cab (+1 650-625-0000).

Car: All of our conference venues have ample on-site parking if you are driving on your own. We encourage you to consider carpooling with other attendees if you opt to drive yourself.

Conference attire

The dress code for all conference events is business casual.

Hotel Information

Participants are required to organize and fund their own travel and accommodations. Hotel accommodations in Mountain View, CA are extremely limited and we strongly suggest that you make your hotel reservations immediately if you are planning to attend. 

OCHA has arranged for special group rates at two local hotels and will provide shuttle transportation to/from these hotels to conference venues. To take advantage of these rates, please use the links below.

Update 6 March 2017: Unfortunately our special room rates are no longer available. Participants can make their own arrangements to stay at either of the two hotels listed below should they wish to take advantage of bus transportation; otherwise, we recommend any local hotel in Mountain View, CA.

Sheraton Sunnyvale

The Sheraton Sunnyvale is a four-star hotel with an Olympic-size outdoor pool and hot tub, a 24-hour fitness facility, and a garden-view Mediterranean restaurant and cocktail bar. Hotel Avante

The Hotel Avante is a three-star “business boutique” hotel with an outdoor pool and hot tub, fitness center, and casual lounge and bar. Visa Information

OCHA will provide a “letter of invitation” to all participants upon request, but it is your responsibility to secure a visa for entry to the United States should you require one. This can be a time-consuming process and we suggest that you apply for a visa as soon as practical should you require one. For additional information, please consult the website of the US Department of State.

Visa Waiver Program

The Visa Waiver Program allows citizens of participating countries (listed below) to travel to the United States without a visa for stays of 90 days or less. Travellers must meet a number of requirements and have a valid Electronic System for Travel Authorization (ESTA) approval prior to travel. The following 38 countries are Visa Waiver Program participants:

Please take note that (1) nationals of participating countries who have travelled to or been present in Iran, Iraq, Libya, Somalia, Sudan, Syria or Yemen on or after March 1, 2011; or (2) nationals of participating countries who are also nationals of Iran, Iraq, Sudan, or Syria, are not eligible for the visa waiver program. These individuals will still be able to apply for a visa using the regular immigration process at US embassies or consulates.

Business Visas

Most individuals attending the Humanitarian ICT Forum are eligible to receive Business Visas (B-1). The specific application process may vary depending on the country via which the participant is applying. Participants are advised to consult their local US embassy or consulate.

Visas for Employees of International Organizations

Diplomats, government officials, and employees of international organisations may be eligible to receive International Organization Staff Visas (G-1). Please check with your organization for more details.
